# Reporting Obligations Overview

## Overview

Registered residential aged care providers have several mandatory reporting obligations to government, each with its own system, format, and deadline. Maica does not replace those government portals, but it gathers and structures the data you need so that completing each obligation is faster and more accurate. This article gives you the big picture: which obligations exist, where they are lodged, and what Maica provides for each.

## The reporting obligations

| Obligation                                        | Lodged with                                                         | Frequency                                  | Maica's role                                                   |
| ------------------------------------------------- | ------------------------------------------------------------------- | ------------------------------------------ | -------------------------------------------------------------- |
| **24/7 Registered Nurse coverage** | GPMS | Monthly, by the 7th of the following month | Calculates the coverage result for you to transcribe into GPMS |
| **Quarterly Financial Report (QFR)** | GPMS | Quarterly | Provides occupancy and leave utilisation data to transcribe |
| **Annual Prudential Compliance Statement (APCS)** | Forms Administration portal, as part of the Annual Financial Report | Annually, by 31 October | Generates a RAD/RAC ledger export for you and your auditor |
| **Serious Incident Response Scheme (SIRS)** | My Aged Care Service and Support Portal (to the ACQSC) | Per incident, within strict deadlines | Provides a structured incident record and compliance tracking |

None of these obligations has a direct system-to-system submission from Maica. Each is lodged by your team in the relevant government portal, using the data Maica prepares. Maica's job is to make sure that data is complete, accurate, and easy to read off.

## How Maica supports each obligation

For each obligation there is a dedicated article that walks through what Maica produces and how to use it:

* For the monthly registered nurse coverage result and how to use it for GPMS, see [24/7 Registered Nurse Coverage](/maica-knowledge-base/residential-aged-care/reporting-obligations-overview/24-7-registered-nurse-coverage.md).
* For the quarterly occupancy and leave figures, see [Quarterly Financial Report (QFR) Data](/maica-knowledge-base/residential-aged-care/reporting-obligations-overview/quarterly-financial-report-qfr-data.md).
* For the annual RAD/RAC ledger your auditor needs, see [APCS RAD/RAC Ledger Export](/maica-knowledge-base/residential-aged-care/reporting-obligations-overview/apcs-rad-rac-ledger-export.md).
* For managing serious incidents and their notification deadlines, see [Managing SIRS Notifications](/maica-knowledge-base/residential-aged-care/reporting-obligations-overview/managing-sirs-notifications.md).

{% hint style="warning" %}
Because the final submission to each portal is a manual step, the deadlines remain your responsibility. Maica gives you the data and, for SIRS, tracks the notification deadline, but it cannot lodge the report on your behalf.
